• Corporate event planning and execution

• MICE (Meetings, Incentives, Conferences, Exhibitions) services
• Sound, lighting, and technical production
• Venue sourcing and vendor coordination
• Barter and partnership facilitation

3. Booking & Contracts

All event bookings are subject to the following conditions:

• Quotation: All quotes are valid for 15 days from the date of issue unless otherwise specified.
• Confirmation: Bookings are confirmed only upon receipt of a signed contract and advance payment.
• Advance Payment: A minimum of 50% advance is required to confirm the booking.
• Balance Payment: The remaining balance must be paid 7 days before the event date.
• Additional Costs: Any changes or additions to the original scope will be billed separately.

4. Cancellation Policy

Cancellation charges apply as follows:

Postponement requests are subject to availability and may incur additional charges.

5. Client Responsibilities

As a client, you agree to:

• Provide accurate and complete information about event requirements
• Make timely payments as per the agreed schedule
• Obtain necessary permits and permissions for the event venue
• Communicate any changes or updates promptly
• Ensure compliance with venue rules and local regulations
• Provide access to event venues for setup and breakdown

6. Intellectual Property

All content on the Event Roster website, including but not limited to:

• Text, graphics, logos, and images
• Event designs, concepts, and presentations
• Software, code, and technical elements
• Photographs and videos of our work

These are the exclusive property of Event Roster and are protected by Indian copyright and intellectual property laws. Unauthorized use, reproduction, or distribution is strictly prohibited.

7. Photography & Media Rights

Event Roster reserves the right to:

• Photograph and video record events we manage for portfolio purposes
• Use event images and videos for marketing and promotional materials
• Share event content on our website and social media platforms

If you wish to opt out of this, please inform us in writing before the event date. We respect your privacy and will honor such requests.

8. Limitation of Liability

To the fullest extent permitted by law:

• Event Roster shall not be liable for any indirect, incidental, special, consequential, or punitive damages
• Our total liability shall not exceed the amount paid by you for the specific service
• We are not responsible for venue-related issues, weather conditions, or third-party vendor failures beyond our control
• Force majeure events (natural disasters, pandemics, government restrictions) may affect service delivery

9. Indemnification

You agree to indemnify, defend, and hold harmless Event Roster, its directors, employees, and partners from any claims, damages, losses, or expenses arising from:

• Your breach of these Terms
• Your violation of any law or third-party rights
• Any content or materials you provide for the event
• Actions of your guests or attendees at the event

10. Website Use

When using our website, you agree not to:

• Use the website for any unlawful purpose
• Attempt to gain unauthorized access to our systems
• Transmit viruses, malware, or harmful code
• Scrape, copy, or reproduce website content without permission
• Interfere with the website's functionality or security

11. Governing Law & Disputes

These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising from these Terms or our services shall be subject to the exclusive jurisdiction of the courts in Mumbai, Maharashtra.

We encourage parties to first attempt resolution through good-faith negotiation before pursuing legal action.
